IN BRIEF

We collect the details needed to respond to your requests and operate Phoenix. Your form submission is not a public profile. Optional updates are a separate choice. Contact us to ask about, correct or request deletion of your information.

01Who is responsible for your information

Phoenix Startups LLC, a Wyoming limited liability company in the United States, operates the Phoenix Startups website and determines how information submitted through its services is used. Our community is based in Santa Monica, California, and is launching globally. For privacy questions or requests, email info@phoenixstartups.club.

This policy covers information handled through our website, application and interview tools, chapter director and meetup interest forms, research download access and related communications. It describes the current service. An external website, independent event organizer or other participant may have its own practices, which this policy does not control.

02Information you provide

We collect information you submit directly through the following activities. Not every optional field is displayed in every form; where you choose to provide an optional detail or it is requested in follow-up, we handle it for the related purpose.

  • Membership applications: full name, email address, founder or investor role, and any company, city, mission or website details you choose to provide.
  • Interview bookings: the application reference, selected start and end time, time zone and related scheduling records.
  • Chapter director applications: name, email address, city, country, preferred virtual or in-person format, motivation and any region, professional link or role information you provide.
  • Meetup interest: name, email address, preferred format, topic and any relevant city or country information.
  • Research access: email address, the requested report, the access request and its time, required service acknowledgement and any separate optional marketing choice.
  • Agreement records: the versions of the terms or membership agreement you accept, the privacy notice you acknowledge and the time associated with that form submission.
  • Correspondence: information you choose to send when asking a question, requesting support, updating a submission or exercising a privacy right.

03Technical information and access links

Your browser and our hosting infrastructure exchange technical information needed to deliver the website, including IP address, request URL, browser or device information, timing and error details. Our application receives network headers and uses a hashed network identifier for short-lived abuse prevention in a 10-minute rate-limit window. It does not store the raw IP address in application form records. Hosting providers may retain technical logs under their own service and security practices.

Application and research access use generated tokens. Our application stores cryptographic hashes rather than the raw tokens in its database. Research download authorization expires after 30 minutes. That expiry ends the access permission; it does not delete the email address or the access request record. Access links contain a token, so treat them as private.

Temporary form and access state is held in the page’s memory while you use it. Closing or reloading the page can clear that browser state without deleting the server-side submission.

04Free startup tool inputs

The free runway, break-even, pricing, unit economics and funding dilution calculators, startup budget planner, impact business planner and impact measurement planner process the values you enter in the current browser page. Those tool inputs and calculated outputs are not sent to our application APIs, stored in our database, or written to cookies or local storage by these tools. There is no account or email requirement to use them.

Reloading, leaving or closing the tool page clears its working state. If you choose to print or save a PDF, your browser creates the document and you decide where to save or share it. The ordinary hosting, font and technical requests described in this policy still occur when you load the page. You remain responsible for keeping a shared device or saved document private.

05Cookies, fonts and tracking choices

The Phoenix website application does not currently set its own cookies, write tracking identifiers to local storage or include advertising pixels or an application analytics service. This statement does not mean that an infrastructure provider or an external website has no cookies or separate logging practices.

The website requests fonts directly from Google Fonts. Those requests disclose technical request information, including your IP address, to Google when your browser retrieves the font resources. Google’s own privacy and service terms apply to that processing. Your browser may also cache site resources as part of normal operation.

We do not intentionally track your activity across other companies’ websites for advertising. We do not currently change the site’s behavior in response to a browser “Do Not Track” signal. We do not sell personal information or share it for cross-context behavioral advertising, so no such sale or advertising sharing is performed regardless of a Global Privacy Control or similar preference signal. Any applicable legal obligation to honor an opt-out signal remains in effect.

06Why we use information

We use information for the activity you request and related, proportionate operational needs. Required fields let us identify the request, respond and administer it. If you do not provide required information, we may be unable to complete that activity.

  • Review membership and chapter director applications and communicate about the review.
  • Show available interview times, reserve a selected slot and coordinate scheduling.
  • Understand meetup interest and communicate about the relevant gathering or format.
  • Authorize the research download you request and administer report access.
  • Record agreement and permission choices, respond to privacy requests and maintain appropriate administrative records.
  • Protect the service, investigate misuse, resolve technical problems and address legal obligations or disputes.
  • Manage a separate optional choice to receive Phoenix updates and, where that choice permits it, send those updates.

07Legal bases where the law requires them

Where applicable privacy law requires a legal basis, we rely on steps you request before entering an agreement and performance of that agreement for application, scheduling and membership administration; legitimate interests in operating and securing a professional community, responding to requests and preventing abuse, subject to your rights; consent for optional updates where required; and compliance with applicable legal obligations.

A required form checkbox records the stated agreement or acknowledgement and the request you are making. It is not a blanket waiver of privacy rights or consent to unrelated marketing. Where consent is the applicable basis, you may withdraw it without affecting processing that was lawful before withdrawal.

08Who can receive information

Authorized Phoenix personnel and service providers may access information as needed for the purposes above. The current website uses Vercel for hosting and application delivery and MongoDB Atlas for database storage. Google receives the technical font requests described above. Providers may also handle technical logs, security and infrastructure operations under their terms and applicable obligations.

Form submissions are not automatically published in a member directory or shared with all members, investors or chapter applicants. An introduction or another disclosure to an independent participant should use the relevant permission or another applicable legal basis. Participation in a conversation or event may itself make information you choose to share visible to its participants.

We may disclose information where reasonably necessary to comply with applicable law or lawful process, protect rights and safety, investigate fraud or defend a legal claim. In a merger, financing, reorganization or sale of all or part of the business, relevant information may be reviewed or transferred subject to appropriate confidentiality and legal protections, with notice where required.

We do not sell personal information or share it for cross-context behavioral advertising. We do not authorize a vendor to use a form submission as a public endorsement of Phoenix or of its own services.

09How long information is kept

Retention depends on the purpose and the record. Relevant factors include whether an application or request is still active, the need to administer membership or follow up on requested interest, maintaining evidence of agreement and choices, preventing misuse, resolving a dispute and meeting legal obligations.

The current system does not apply a single automatic deletion deadline to all submissions. In particular, a research token’s 30-minute expiry does not delete the email capture or consent record. We retain information only for as long as reasonably needed for the relevant purpose and lawful administrative, security or legal needs, and review deletion or restriction requests against those needs.

Where deletion is appropriate, copies in provider backups or security records may persist until their normal replacement or deletion cycle, subject to applicable law. Information that must be retained for a specific legal reason will be limited to that reason rather than treated as permission for unrelated use.

10Security and sensitive information

We use measures appropriate to the service, including HTTPS delivery, server-side input validation, restricted service credentials, hashed access tokens and rate limiting. These measures reduce risk but cannot guarantee that every system, communication or provider is free from unauthorized access or loss.

Our forms do not ask for government identification numbers, payment card details, account passwords, health records or sensitive customer data. Please do not submit them. If information is particularly sensitive or commercially confidential, contact us to discuss an appropriate channel before sending it. We will address a security incident and provide notices where applicable law requires them.

11International visitors and processing

Phoenix is a United States company. Our personnel and infrastructure providers may process information in the United States and other countries in which they operate. Those countries may have different privacy laws from the place where you live.

Where applicable law requires a safeguard or another lawful mechanism for an international transfer, that requirement applies to the transfer. This policy does not claim a particular certification or that submitting a form alone waives a mandatory transfer protection. Contact us if you need information about a transfer relevant to your request.

12Your choices and privacy requests

Email info@phoenixstartups.club to ask what information we hold about you, correct it, request deletion, withdraw an optional marketing choice or raise a privacy concern. Use the email address associated with your submission where possible and describe the request. You do not need to create an account.

We may ask for the minimum additional information reasonably needed to verify that the request relates to you or that an authorized representative can act for you. Do not send identity documents or sensitive credentials unless we specifically explain a necessary and proportionate verification method.

Depending on the law that applies, you may have rights to access or obtain a copy of your information, correct inaccurate information, request deletion, restrict or object to certain processing, receive portable information, withdraw consent, or appeal a decision on a request. These rights have legal conditions and exceptions. We will respond within the period required by applicable law and explain a refusal or limitation where required.

If a law gives you a right to complain to a privacy regulator or supervisory authority, that right remains available. We will not unlawfully discriminate or retaliate against you for exercising a privacy right. Withdrawal of optional marketing does not stop necessary communications about an existing application, booking, service request or legal matter.

13California and other United States residents

State privacy laws vary in their coverage and exceptions. Where a law such as the California Consumer Privacy Act applies to Phoenix and your information, you may exercise the rights it grants, including applicable rights to know, access, correct, delete, limit certain sensitive information uses, opt out of covered sale or advertising sharing, and use an authorized agent, without unlawful discrimination. This policy does not assert that every state privacy statute applies to the company.

The categories of information, sources, purposes and recipients are described above. We receive form information directly from you and technical request information through your browser and service infrastructure. We do not sell personal information, share it for cross-context behavioral advertising or use submitted sensitive personal information to infer personal characteristics. We do not operate a data-sale or advertising-sharing program requiring you to enroll in an opt-out to avoid it.

Send an applicable rights request or appeal to info@phoenixstartups.club. If a law requires an additional request channel or notice for a particular service, we will provide it. Nothing in this policy limits a right or remedy provided by applicable law.

14Adults and children

Applications, research download requests, interviews and club participation are intended for adults aged 18 or older. We do not knowingly collect personal information through these activities from children. If you believe a child has submitted personal information, contact us so we can assess and address it, including deletion where appropriate.

15Changes to this policy

The effective date identifies the current version of this policy. If our practices change, we will update this page and provide additional notice where a material change or applicable law requires it. We will seek consent where required before a new use based on consent; posting a revised policy does not by itself supply retroactive consent.

A change to this policy does not remove a privacy right or alter a separate agreement beyond what applicable law and that agreement permit.
